The Academic Advisement Center (AAC) at Santa Fe College (SF) is dedicated to assisting and supporting Associate in Arts (A.A) students who are embarking on their educational journey by providing information, guidance, and advisement. Through personalized guidance tailored to individual needs and goals, the Center provides valuable assistance for students navigating their degree program, exploring academic interests, and overcoming educational challenges.

Job Description

The Associate Director contributes to the overall success of the department by providing leadership, oversight, and operational direction to the Academic Advisement Center. The Associate Director is responsible for developing and implementing advising protocols, assessing program and learning outcomes, achieving objectives, and establishing and managing business functions related to policy, procedure, communication development, and data analysis. The Associate Director ensures the provision of high-quality training, supervision, and evaluation of the Advising team and sets the tone for a student-centered, high-performance culture.

Responsibilities and duties include:

  • Provides overall leadership and direct supervision to the department to ensure successful operation, management, and maintenance of the Academic Advisement Center
  • Develops and implements various advising protocols to aid in increasing student persistence and retention and ensures adherence to these protocols
  • Oversees and integrates all software policies, procedures, and usage in the Advisement Center, offering technical assistance as needed.
  • Directs the implementation of internal, external, and online activities in advising in collaboration with various campus partners to continually incorporate academic advising into the SF student experience.
  • Supports the Advisement Center by providing drop-in advising services during peak, high-traffic times.
  • Oversees the policies and procedures related to A.A degrees and the transfer of these degrees to the State University System (SUS) institution. 
  • Develops appropriate relationships with colleagues at State University System institutions in order to improve SF transfer rates.
  • Oversees coordination of SF’s guaranteed transfer programs and other related articulation pathways, maintaining and forming new relationships with internal and external constituents to ensure seamless transition for students.
  • Regularly assesses program and learning outcomes through scheduled program review and uses the results to establish goals, set targets, and develop annual plans collaboratively with other areas of the college that improve student access, retention, learning and success.
  • Analyzes and interprets data, identifies trends and patterns, and provides data-driven recommendations to the Director of Collegewide Advising to improve efficiency and quality of advising services.
  • Onboards, retains, and provides professional development opportunities for full- and part-time staff of the AAC.
  • Cultivates and maintains a work environment that involves trust, respect, open communication, creative thinking, and cohesive team effort.
  • Facilitates high quality training, supervision, and evaluation of the Advising team, providing guidance and support to staff as needed.
  • Prepares and compiles reports for the Director of Collegewide Advising as requested.
  • Addresses escalated student issues in a professional and timely manner and responds to student and parent complaints.
  • Represents the department effectively to others in the college and community.
  • Serves as departmental budget authority and facilitates authorization of payroll.
  • Manages the AAC website on a continual basis and updates information as needed.
  • Stays abreast of emerging issues in advising and is proactive in developing best practices in those areas to meet the needs of students and the college.
  • Ensures adherence and compliance with college regulations and state and federal guidelines relating to advising and for reporting purposes.
  • Complies with all published College Rules, procedures, guidelines, and laws/regulations governing public employees, including but not limited to those related to document retention and destruction, FERPA, and confidentiality.
  • Strictly honors the privacy, security and confidentiality of student records and other sensitive information according to appropriate state, federal and college regulations, policies, and procedures.
  • Provides service excellence through courteous, informed, accessible, and professional engagement.
  • Performs other duties as assigned. 

Reports to: Director, Collegewide Advising

QUALIFICATIONS

Required: A bachelor’s degree in education or a related field with at least four (4) years of experience in academic advisement, student affairs, student services, counseling or a related field or a combination of education and experience equal to eight (8) years is required. Additionally, at least two (2) of those years must involve direct supervision, office management, or project management.

Additional Requirements:  A criminal background check will be conducted.

Preferred: A master’s degree in education or a related field with demonstrated success in supervisory and operational roles.

  • Multi-task - Ability to expeditiously organize, coordinate, manage, prioritize, and perform multiple tasks simultaneously to swiftly assess a situation, determine a logical course of action, and apply the appropriate response.
