WHAT YOU’LL DO

This is an exciting opportunity to step into a new role as the Deputy Chief of Staff for the Foundation. You'll play a pivotal role in supporting and collaborating with the Chief of Staff and the Office of the President. Your responsibilities will encompass project management and essential administrative tasks vital to the smooth operation of executive functions and initiatives. Your attention to detail, resourcefulness, and ability to thrive in a high-impact environment will be crucial in executing and driving activity on high-priority projects and workflows on behalf of the Office of the President.

You will be a systems thinker with detail-orientation, an eye for efficiency, and resourceful with information, tools, and relationships. Your work product will mirror the standards expected of the Office of the President. You must possess the ability to advance and complete high volumes of work with minimal guidance or supervision yet a high degree of collaboration, coordination and with deadline sensitivity.

The compensation range for this role is $145,000 - $160,000 annually.


 

YOU’LL BE RESPONSIBLE FOR…

  • Act as a strategic partner to the Chief of Staff and President & CEO on stakeholder management across Stanford Medicine and Stanford University, proactively preparing agendas, tracking topics, and sourcing information. Serve as a point person for questions and requests for stakeholder meetings. Staff meetings in the absence of the Chief of Staff.
  • Take charge of coordinating and executing all-staff Town Halls, adhering to an annual planning calendar, gathering input to ensure content meets organizational needs and objectives, and developing a comprehensive run-of-show to ensure execution from start to finish.
  • Collaborate with the Chief of Staff to support and partner with senior leadership at the Foundation. This includes scheduling meetings, preparing materials, coordinating key deliverables, and driving work and workflows on strategic priorities and change initiatives.
  • Undertake other project coordination as assigned breaking projects into tasks, creating workflows, managing schedules, coordinating across stakeholders internal and external to the Foundation, and ensuring deliverables are completed on time.
  • Research, write, edit and/or coordinate preparation of agendas, briefings, presentations, and talking points on behalf of the Office of the President and in support of the Chief of Staff.
  • Assist the Chief of Staff with complex time management, including workback timelines on key deliverables and project execution, in partnership with the Executive Assistant.
  • Expertly navigate various systems, tools, and online platforms, offering recommendations aligned with business needs and enhanced functionality for the Chief of Staff and Office of the President.
  • Manage inbox correspondences for the Chief of Staff, reading, referencing, and flagging important messages.
  • Source and record donor and prospect data on behalf of the Office of the President.
  • Foster a harmonious and efficient work environment through constant coordination and collaboration with the Chief of Staff and Executive Assistant.
  • Cross-train and support administrative needs for the Foundation's board of directors including scheduling.
  • Model a culture of service, professionalism, and continuous improvement in the Office of the President.
