The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Reporting to the Assistant Director of HR Operations, the HR Representative plays a pivotal role in ensuring the department’s support functions are executed smoothly and effectively, with a focus on operations, compliance, and customer service.

 

Responsibilities

Office Management

  • Supervise front desk coverage, managing inquiries, and ensuring a welcoming environment for staff and visitors.
  • Manage the HR operations email box, respond to inquiries, and escalate matters as appropriate.
  • Manage CUHR conference room operations, including scheduling and approving room reservations. Ensure cleanliness and functionality before and after events. Provide regular maintenance and upkeep to ensure that the rooms are operational and have functioning equipment and furniture.
  • In coordination with the Assistant Director of HR Operations, manage the department’s IT equipment and procurement needs. Responsible for maintaining inventory of the department’s hardware properties and software licenses. Liaise with Columbia University Information Technology (CUIT) to address technical issues as they arise.
  • Maintain inventory and organization of the department’s supply room, ensuring adequate supplies are available.
  • Responsible for the department’s mail room, sorting incoming mail, reviewing and verifying the use of correct accounts and forms for all outgoing mail, and ensuring that the mail room remains organized at all times.

Compliance Support

  • Responsible for I-9 and eVerify processing year-round. Assist with employment verifications (the Work Number), I-9, and E-Verify data validation in I-9 Express.
  • Under the direction of the Director of Compliance, participate in the centralized background check program administration. Initiate background check requests on behalf of clients across the Morningside and Manhattanville campuses.
  • Using independent judgment, review background check reports, assess discrepancies, and consult with the Compliance and Operations team to determine final adjudication. Ensure all background checks meet University compliance requirements.
  • Serve as a point of contact by proactively offering progress updates and addressing inquiries in accordance with university policies and procedures.
  • Use discretion when reviewing, addressing, and resolving inquiries relating to background check concerns to prevent delays and ensure the timely review and adjudication of pending checks.
  • Review and process sensitive and confidential personnel transactions promptly.
  • Provide data entry support during high-volume months. Audit data in PeopleSoft and The Work Number/I-9 Management.
  • Perform other duties as assigned.

 

Minimum Qualifications

  • A bachelor's degree or the equivalent in education training and/or experience and 0-2 years of experience are required.

  • Excellent communication skills and a customer-focused approach.
  • Comfortable with managing multiple projects, prioritizing, and problem-solving in a fast-paced environment.
  • Must be well-organized and demonstrate a keen attention to detail.
  • Excellent presentation, interpersonal, and communication skills, both written and oral.
  • Ability to build and foster relationships and collaborate with colleagues on the CUHR team and client groups across campus.
  • Must be able to work independently and take initiative.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other cloud-based platforms.
