Position Summary

Under the direction of the Workforce Development Coordinator, the employee is the point of contact for the daily facilitation of programs/courses for the Workforce Development Division. The employee coordinates the implementation of new courses that benefit business and the community at large.

POSTING DATE: MAY 27, 2024

SALARY: Based on education and experience commensurate with Salary Schedule E3 04 (range: $38,979 - $56,128).

ANTICIPATED START DATE: JULY 1, 2024

The position will be based initially at the Wallace Campus in Dothan.

More than one position in the same job classification may be filled from the applicants for this position should another vacancy occur during the search process.

Essential Duties and Responsibilities

ESSENTIAL FUNCTION: Program Coordination. The position will serve as the primary point of contact for assigned programs. The position will also assist the Workforce Development Coordinator in research and implementation of new Workforce Development Programs.


  • Actively research and stay current on trends in workforce development, non-credit training, and certificate career programs, for the purposes of making recommendations for program changes and additions as needed.
  • Serves as the primary representative to handle all the daily facilitation of program/course assigned.
  • Submit ideas to the Workforce Development Coordinator for new programs that will meet the demands of the local workforce. Which includes establishing program goals and objectives; developing program guidelines, developing schedules, and coordinating items needed for program delivery.
  • Coordinates efforts to identify needs and works with Instructors to plan schedules for development and delivery of training.
  • Schedule and coordinate marketing efforts through the Public Relations department for all assigned WFD courses.
  • Effectively market and conduct outreach to promote workforce development programs. Visits local high schools to recruit for programs; participates in career fairs to promote WFD programs to the community.
ESSENTIAL FUNCTION: Reporting and Analytics. Performs a variety of tasks to address and complete departmental functions and goals.
  • Document student, instructor, and class information that is needed for reporting in the WFD Profit and Loss report.
  • Records necessary participant data in multiple management information systems to be able to provide reports as requested.
  • Prepare materials for and complete all monthly reports to include budget activities for assigned programs.
  • Monitor performance and efficiency to improve programs and services.
  • Supports college and departmental projects and initiatives.
  • Works with appropriate areas to ensure prompt and accurate flow of information and reporting in accordance with all state and federal laws and regulations.
ESSENTIAL FUNCTION: Administrative Duties. Employee performs administrative duties to support the work of the Workforce Development Division.
  • Assists with set-up and planning of events related to the delivery of various courses.
  • Uses computer skills to create presentations and marketing materials.
  • Conducts office management activities as are appropriate to conduct the business of the Department.
  • Maintains working relationship with instructors; maintains relationships with businesses and industry partners.
ESSENTIAL FUNCTION: Course Management. The employee performs administrative duties that aid in the set-up, registration, and completion of Workforce Development courses.
  • Sets up new classes in the College computer system; enters course information
  • Handles advertising for all assigned programs.
  • Collects student registration information and enters information into College computer system.
  • Maintains files for each class; creates class rolls, name badges, etc.; updates class rolls at completion of course, assigns grades and closes the class in the system.
  • Ensures pre-enrollment course requirements are met such as high school diploma/GED graduation, background checks, etc. and make copies for files.
  • Directs students on payment options for course fees.
  • Submits requisitions for supplies, books, and all other items that are required for each program.
  • Maintains departmental records for students who receive WIOA funding; prepares contract approvals; verifies completion of courses; sends termination reports after completed course.
  • Maintains files for pending purchases and tracks backorders; receives and distributes supplies; receives invoices and processes through Business Office.
  • Assembles course materials such as notebooks, etc. as required.
  • Places food orders for classes and other special events and ensures set-up and clean-up is completed.
  • Purchases supplies for classes from local stores and transports them to the college.

ESSENTIAL FUNCTION: College Expectations. Dependability, attendance, punctuality, and a commitment to do the job right are essential at all times.
  • Reports to work on time, at appropriate workstation or department during all departmental/position scheduled work days and during all departmental/position scheduled work hours.
  • Understands that failure to report for work and/or reporting late without prior approval are unacceptable practices and will result in disciplinary action.
  • Performs a productive full day’s work.
  • Ensures that service to students and the general public is top priority.
  • Demonstrates a considerate, friendly, respectful and constructive attitude toward fellow employees and students.
  • Adheres to all College and System policies and procedures.

 

Qualifications

 

  • Possess an associate degree from an accredited institution is required.
  • Two years of full-time work experience with coordination and project management and experience in or with business and industry is required.
  • Possess a current and valid driver's license with the ability to drive and travel is required.
  • Ability to work nonstandard hours, including weekends and overtime is required.
  • Ability to frequently lift, move, or transport instructional materials up to 30 lbs. specific to programs is required.
ADVISORY COMMITTEE: The President will appoint an Advisory and Interview Committee to include representatives of the College faculty and staff. This committee will employ appropriate procedures, including the review of application packets, interview, and demonstration of competency, to determine which applicants are to be recommended to the President for further consideration. From all the applications received, an advisory committee will select the applicants to be interviewed. All initial interviews will be conducted in person and applicants must travel at their own expense.
