Overview

Reporting to both the Clinical/Disease Center Physician Leader and the Director of Disease Center Operations, the Administrative Director of Disease Center Operations works in close alignment with the Vice President of Ambulatory Care Operations. The Administrative Director is responsible for ensuring all clinical and business operations are exceptionally and seamlessly managed. Serving as the liaison for both Institute and Departmental issues, the Administrative Director is tasked with developing and implementing strategic plan and clinical growth initiatives.  The Administrative Director will provide fiscal and human resources management and programmatic oversight in support of research and operational missions within the Clinical/Disease Center.

This position’s work location is partial remote with two days per week remote and three days onsite. The selected candidate may only work remotely from a New England state (ME, VT, NH, MA, CT, RI).  

Responsibilities

Staffing and Personnel Management 

  • Coordinate faculty offer and retention packages, provider onboarding, training and credentialing; 
  • Administratively responsible for entire Clinical/Disease Center (Payroll, Occupational Health, Compliance); 
  • Ensure appropriate administrative staffing levels for departmental business operations; 
  • Responsible for hiring and training all administrative support staff, and providing ongoing training and career development opportunities; 
  • Conduct regular meetings and problem-solve with all facets of scheduling, practice and research managers and supervisors in real-time.   
  • At minimum directly responsible for five reports and administratively for 20.  

Financial Oversight and Planning 

  • Maintain and regularly report out on the financial portfolio of operating, grant, clinical trial and discretionary/gift accounts; 
  • Prepare and monitor operating budgets, identify and address budget variances monthly; 
  • Assess productivity reports and calculate provider bonuses; 
  • Manage and provide oversight of expenses, departmental reimbursement, and invoices; 
  • Track outpatient sessions, maintain accurate clinical effort reports and process med-fees; 

Continuous Process Improvement 

  • Serve as primary point of contact in resolving staff and care delivery issues that arise; 
  • Partner with Clinical and Nursing Directors across all service delivery lines; 
  • Participate and build quality assurance project teams; 
  • Routinely review template utilization data and adjust clinical templates as appropriate; 
  • Maintain all Master Schedule Templates and implement changes when necessary; 
  • Communicate and shar information regularly with clinical care teams, Yawkey operations and scheduling; 
  • Facilitate communication and build rapport across Medical Oncology, Surgical Oncology, and Radiation Oncology; 
  • Routinely review patient feedback with Clinical/Disease Center Leadership and adjust processes as appropriate. 

Strategic Planning and Implementation 

  • Serve as conduit for Clinical/Disease Center Leadership with DF/BWCC, Clinical Planning and Network Operations, and all Satellite and Affiliating Organizations to ensure alignment of vision and strategic initiatives and collaboration; 
  • Routinely monitor and address new patient access metrics; 
  • Review all Clinical Statistics Reports and report out to Clinical/Disease Center Leadership on annual clinical growth and alignment with Institutional goals; 
  • Establish and maintain rapport with appropriate Development contact and stay apprised of gift intention; 
  • Collaborate with Marketing and Communications on new service lines or research developments; 
  • Facilitate patient and provider symposiums; 
  • Oversee and execute new programs and service lines. 

Clinical Operations 

  • Establish, implement and monitor processes and procedures for patient access and satisfaction to ensure excellence; 
  • Effectively utilize existing resources to best meet the needs of patient and provider satisfaction; 
  • Monitor a variety of clinical metrics/reports to ensure efficiency, performance and compliance; 
  • Communicate and support Clinical/Disease Center in all technical upgrades and system updates; 
  • Participate in the suggestion and development of new technologies and workflows to improve the patient and staff experience. 

SUPERVISORY RESPONSIBILITIES:

Yes, at minimum 5 direct reports, and 20 indirect/ administratively responsible

Qualifications

  • Bachelor's Degree required. Master's Degree in healthcare administration or business (MBA, MPH, MHA) highly preferred;
  • Minimum five (5) years experience in hospital administration, preferably in an academic setting, required;
  • Managerial/supervisory experience required

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Strong financial acumen, including knowledge of research grants and contracts;
  • Demonstrated ability to coordinate and balance complex projects and competing deadlines;
  • Proven ability to relate well to and work effectively with all levels of the organization including faculty, clinical staff, and front desk personnel;
  • Excellent interpersonal and negotiation skills;
  • Ability to accurately and concisely share information (both written and verbal) to diverse audiences;
  • A true commitment to and passion for excellent patient care and access;
  • Ability to work within a team setting and foster collaboration;
  • Excellent customer service skills.
