Overview

The Scheduling Coordinator provides support for the Inpatient Physician Assistants and Inpatient Oncology Attendings at Dana-Farber Cancer Institute. The Coordinator keeps the daily schedules updated and accurate, communicates changes, advertises shifts, and oversees payments. The Coordinator works closely with the administrators for the Inpatient Service, Physician Assistant Program, and Oncology Hospitalist Program. The Coordinator works with clinical leadership to build future schedule blocks and identify resource needs.

This position’s work location is hybrid with two or three days per week remote. The selected candidate may only work remote days from a New England state (ME, VT, NH, MA, CT, RI).  

Responsibilities

  • Create and manage schedules for the inpatient responding clinicians and inpatient oncology attendings
  • Update daily schedule with unplanned absences, new sign-ups, and census surge needs on all applicable platforms
  • Responsible for gathering time off requests
  • Manage templates based on FTE changes, RVU targets, and schedule preferences
  • Assist leadership with building the quarterly inpatient physician assistant schedules
  • Support the building of the annual Master Attending Schedule
  • Advertise open shifts for surge coverage in a timely manner
  • Assist the physician assistant program with timesheet inputs
  • Manage payments for surge attendings; assist the Department of Medicine on resident payments
  • Track and report staffing metrics as requested
  • Participate in and support quality improvement projects across inpatient service line
  • May provide back-up support for patient intake scheduler
  • Other duties as assigned

Qualifications

  • Bachelor’s degree required.
  • 0-3 years relevant experience preferred. Experience (academic or professional) within a medical, scientific, or office setting preferred.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Excellent written and verbal communication skills
  • Proficient with computer applications, particularly Microsoft Excel, Outlook, and Office Suite. Ability to adapt to unfamiliar schedule technologies
  • Strong customer service skills and the ability to interact professionally with peers, leadership, and external contacts
  • Ability to maintain confidentiality and pay attention to detail
  • Excellent ability to organize, prioritize, and follow-through
