Essential Job Duties

This University Program Specialist serves as the point person for faculty promotion, tenure and post tenure review processes, as well as coordinating CALS faculty and staff awards activities. They will facilitate collaboration between the Senior Associate Dean of the College of Agriculture and Life Sciences, the Dean’s , and Human Resources to execute these functions. The primary roles and responsibilities include:

Faculty Success Activities (Promotion, Tenure, Post tenure review, endowed professorships, awards): 65%
  • Manage and provide consultation in support of the reappointment, promotion, and tenure (RPT), post-tenure review (PTR), and endowed professorships of CALS faculty by coordinating deadlines and committees, and communicating processes within the 12 academic College departments. Facilitate coordination between the Dean’s office and Human resources to lead these activities.
  • Manage deadlines for College promotion and tenure processes in association with the Sr. Associate Dean.
  • Provide detailed and independent review of dossiers for correct formatting, maintain timelines and confidentiality, and communicate with departmental HR representatives.
  • Develop and coordinate the faculty and staff college awards activities to promote CALS success. Work in coordination with the HR team and the awards for excellence committee for College staff. This area includes project planning, management and implementation of the spectrum of the awards process from solicitating nomination materials, identifying opportunities, drafting nomination letters, planning and executing events and communication within the College.
  • Main point of contact for departments, for resource and communication of RPT, awards and recognition processes.

Office Management: 25%
  • Coordinate events and priorities for the Senior Associate Dean.
  • Supports College faculty and staff by staying up to date on a variety of processes and procedures.
  • Independently collect information, analyze data and compile reports from numerous data requests and information upon the Senior Associate Dean’s request. This includes soliciting information from leadership within the College and interacting with Department and Unit Heads, as well as faculty and staff. Provide leadership on constructing annual University reports and synthesize material from longer submissions.
  • Prepare and assess data related to facilities requests in support of the Facilities Operations Manager. Consolidate and develop standardized approach to manage R&R requests.

Administrative Coordination: 10%
  • Provide program and administrative support to the CALS international programs team.
  • Provide collaborative support of HR initiatives and Dean’s Office Projects.
  • Cross-train with the Dean’s executive assistant and a human resources specialist in the area of College projects and administrative support across teams.

Other Responsibilities

Position also provides assistance to the CALS Human Resources Office on special projects, and is currently designed to include cross-training under HR Specialists to learn HR processes. The position will also support the Dean’s office executive assistant as necessary for contingency activities and large projects.

Minimum Experience/Education

Bachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.
 
All degrees must be received from appropriately accredited institutions.

  • Must demonstrate strong computer skills (Word, Excel, calendaring, gmail, website administration).
  • Exceptional written communication skills.
  • High level of professionalism, organizational knowledge, discretion, and exceptional interpersonal skills required.

Preferred Qualifications

  • Experience with university systems including RPT online.
  • Must demonstrate strong computer skills (Word, Excel, calendaring, gmail, website administration, PeopleSoft HR, PeopleSoft Financials).
  • Broad based understanding of organization and relationships to make recommendations.
