The Associate Registrar is responsible for the day-to-day operations of the Office of Records and Registration window, serves as the primary administrator for the DegreeWorks platform, and maintains records in conjunction with Academic Affairs, Admissions, Financial Aid, Student Development, and other administrative offices within the campus community. The Office of Records and Registration provides services to a diverse student population who are enrolled in in-person and online coursework. This position serves as the primary records liaison for both the non-matriculated, prison education, and veteran student populations.

 

Duties and Responsibilities

  • Deputizes for Registrar on an as-needed basis.
  • Under the general supervision of the Registrar, supervises the day-to-day operations of the Office of Recording and Registration window.
    • Provides support to students, faculty, alumni, and the wider community at the registration window in collaboration with the Technical Assistant for Records and Registration.
    • Manages staffing of the Records and Registration window and virtual office hours ensuring day and evening accessibility for students.
    • Oversees and manages student leaders employed within the Office of Records and Registration providing them with customer service training and opportunities for professional development.
    • Processes change of curriculum, incomplete grades, corrects transcript notations, and applies student attributes to records in collaboration with the Registrar.
    • Assists with end-of-semester processing and coordinates associated communications to faculty, staff, and students.
    • Coordinates review of degree applications, awarding of degrees, and distribution of diplomas.
    • Advises the Registrar on policy and process development to improve the student experience.
  • Serves as the College’s DegreeWorks administrator and chairs the Degree Works Working Group
    • Provides immediate oversight to the DegreeWorks platform and responsible for its functionality, maintenance, and ongoing development to improve the overall student experience.
    • Identifies exception processing trends and makes recommendations on potential changes to the Registrar.
    • Coordinates with IT and Academic Advisement to maintain the accuracy and functionality of degree audits.
    • Remains abreast of updates and upgrades to the platform and coordinates their installation.
    • Provides ongoing training to faculty, staff, and students on the use of the platform.
  • Acts as the liaison between the Office of Records and Registration and the Office of Advising, Career, and Transfer Services.
    • Serves as the primary point person for the non-matriculated student population – assisting them in addressing both curricular and non-curricular needs.
    • Supervises the transfer credit evaluation process and transfer credit process in collaboration with the Technical Assistant for Records and Registration.
    • Maintains and updates course equivalency catalogs between CGCC and other colleges and universities.
    • Develops and maintains Credit for Prior Learning catalogs in coordination with departments heads and Academic affairs personnel.
    • Develops and updates student educational plans in line with curricular developments and Guided Pathways
    • Conducts regular audits of relevant websites and student access points related to the Office of Records and Registration to ensure all platforms are accessible and information is current.
  • Serves as a bridge between Academic Affairs and the Office of Records and Registration.
    • Coordinates approved curriculum changes within DegreeWorks and facilitates appropriate testing.
    • Assists the Registrar in academic calendar creation and maintenance.
  • Serves as the College’s Veteran Students Certifying Official.
    • Certifies student veteran documentation and liaises with the Department of Veteran Affairs when appropriate.
    • Leads reporting efforts, including re-approval documentation and applicable surveys.
    • Develop and maintain a transfer equivalency and credit for prior learning databases for military personnel.
  • Serves as the liaison between the Office of Records and Registration and the partner correctional facilities.
  • Maintains and preserves student academic records in accordance with college policy and FERPA.
  • Serves as the College’s TAP Certifying Official.
    • attesting to the accuracy of information submitted to HESC on student eligibility or ineligibility for an award;
    • training and monitoring the activities of other institutional personnel directly involved in certifying student awards;
    • providing policy guidance to other institutional personnel in activities related to certifying student awards (for example, faculty or other academic personnel who are responsible for determining good academic standing, etc.);
    • ensuring that certification activities are carried out in a prompt and timely manner to facilitate delivering awards to students and returning overpayments to HESC; and
    • if the certification process at the school is automated, the certifying officer is responsible for ensuring that the certification system is accurate and has been adequately tested as required by the EFAN Agreement.
  • Where appropriate, acts as a liaison with government agencies, including Homeland Security, U.S. Citizenship & Immigration Services, Immigration and Customs Enforcement, and Consular Affairs Offices.
  • Serves on College-wide committees as requested.
  • Supports in the planning and day-of responsibilities for annual Commencement program.

 

Qualifications

  • Bachelor’s Degree or three to five years of experience in Records and Registration environment preferred.
  • Ability to work well within an increasingly diverse environment.
  • Excellent written and verbal communication skills.
  • Excellent computer skills with a strong attention to detail and ability to process data accurately.
  • Ability to learn and process information quickly, accurately, and reliably.
  • Ability to maintain confidentiality of records and information.
  • Proficient understanding of all Federal and State regulations related to records management.
  • Proficiency working with relevant technologies, software, and systems (e.g. BannerOnBaseDegreeWorksNational Student Clearinghouse).

 

Salary and Benefits Information

Annual salary is $58,656 and will be commensurate with experience and education. The College offers a comprehensive benefits package that includes medical and dental insurance, short-and long-term disability, generous vacation, and sick leave, paid holidays, pre-tax flexible spending accounts, retirement plans, tax-deferred compensation, as well as employee and dependent tuition waivers.
