Contract and Invoice Manager

Description

The Contract and Invoice Manager has a thorough knowledge of the PRPG imprints, their product, and procedures. Under the guidance of the Director, will create and manage many of PRPG's Intellectual Properties via contractual agreements and invoices. They will also be responsible for organizational and other tasks assisting members of PRPG in various administrative duties.
What You Will Be Doing:
Contract Management:
  • Contracts: Prepare and negotiate as needed assigned Licensor agreements (royalty on print, royalty on sales, amendments), packager agreements, purchase term agreements, all Work for Hire (WFH) agreements, and other types of agreements as requested. Update boilerplates as needed. Keep the Annotated Contract Summary (ACS) and other trackers up to date. Includes managing NDAs, CA WFH agreement special needs (spreadsheets, active business license, using appropriate boilerplate) and ensuring we are fully compliant. Collaborate with Legal team on contracts and projects as necessary.
  • Lead liaison with our Licensor lawyer: Organize and keep track of all large licensor agreements and necessary paperwork. Help Manage/Organize Brand Launches, help draft, update, and keep track of all contract summaries, royalty cheat sheets and any information that needs to be shared or updated.
  • Prepare, manage and liaise with sales on all licensor agreements: take the lead on all licensor agreements, ensuring terms/conditions are favorable to PRPG.
  • Schedule A Coordination: Once Schedule A is signed, send it to appropriate supplier, and file in folder(s).
  • Contributor Copy list: Manage lists for all imprints. Create and submit orders to distribution centers. Send finished copies for all non-big license and WFH contractual requirements. Maintain up-to-date contact information for all freelancers, agencies, and publishers.
  • New Vendor Setup/Change of Address for Licensors and WFHs: Coordination of test payment initiation and receipt, invoice instructions, and required paperwork including New Vendor Forms, W-8s, W-9s, 1099s, invoices.

Financial:

  • Review and approve all WIP and printer invoices on a timely basis, ensuring title budgets are met.
  • Review all PRPG Merchandise Pub Boards and ensure contractual requirements are met prior to final approval.
  • Royalty on Sales: Identify advance payment requirements and due dates by analyzing contractual language and reviewing payment history. Creating check requests including support where necessary. More duties may be added as necessary.
  • Royalty on Print Payments: Manage all aspects of ROP titles from theoriginal printing plan (communicating with licensors our print plans), to pulling printer invoices to verify final print quantities and emailing licensors with final quantities to obtain an invoice or issuing a check request. Process/code invoice or check request.
  • Invoice Processing: Verify and code all component, freelance, and printer invoices. Validate that project is within budget guidelines and coordinate with production managers where necessary. Prepare project ID requests, code and procure the necessary approvals for invoices. Save invoices in the finance folder by EOD Thursday weekly to ensure prompt processing and payment.
  • Invoice Issues: Take the lead on all WFH invoice issues and bring themto successful payment resolution. Assist in monthly/daily Printer/Packager reconciliation projects.
  • Audit quarterly TMM information: Copyright information, ROP
  • Assist, when necessary, in TMM data entry and maintenance. Will have a thorough knowledge of the TMM title page to process invoices and contracts efficiently. Assist teams with any special projects, as requested.
  • Contract Maintenance in F&O: Once thelicensing agreement has been executed, enter and maintain licensor contract information in theroyalty module within F&O including customer and item groups.
  • Identify opportunities for development and show initiative in implementing any necessary changes to meet new demands and to better assist PRPG.
  • Other duties may be assigned, directed, or requested.

    What You Will Need:

    • Bachelor's degree and/or legal studies degree is preferred.
    • Strong to advanced experience in Microsoft Excel, Word, PowerPoint, and Outlook is preferred.
    • Ability to handle multiple demands, prioritize, and allocate effectively.
    • Excellent organizational skills.
    • Must have excellent communication skills, both written and verbal.
    • Ability to speak with all levels of the organization and outside partners.
    • Ability to read and interpret documents.
    • Interpersonal skills-the individual maintains confidentiality, remains open to others' ideas, and exhibits awillingness to try new things.
    • Oral Communication - the individual speaks clearly and persuasively in positive or negative situations.
    • Written Communication - the individual edits work for spelling and grammar, presents numerical data effectively, and is able to read and interpret written information.
    • Must be proficient in basic mathematics: addition, subtraction, multiplication, and division.
    • Ability to do algebra, calculate figures and amounts, and apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
    • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
    • Ability to deal with problems involving variables.
    • Problem-solving-the individual identifies and resolves problems in a timely manner, gathers and analyzes information skillfully, and maintains confidentiality.
    • The work performed is in an office environment.
    • The noise level in the work environment is usually moderate at low decibels.
    • Must be able to work in a fast-paced, team environment.

    Salary: $90,000.00 - $93,000.00
