University Advancement (UA) secures support for NC State University by raising funds from private sources, engaging current and future alumni, building a culture of philanthropy, and enhancing the university’s reputation through integrated marketing and communications. Led by Vice Chancellor Brian Sischo, UA fulfills its mission through the operations of four main units: University Development, which seeks and obtains philanthropic support; Alumni Engagement and Annual Giving, which builds and fosters relationships and a culture of philanthropy with alumni and other constituencies; University Communications and Marketing, NC State’s dedicated communications agency; and Advancement Services, which provides information management and other key support functions to all University Advancement units.
The Office of Development Communications and Stewardship uses a strategic, integrated approach to communicate the impact of private support and encourage long-term engagement with the university.
Essential Job Duties
The Scholarship Stewardship Officer is an important role within the Office of Development Communications and Stewardship. The position will be responsible for coordinating and implementing various reporting strategies that communicate the impact of NC State’s scholarship donors and strengthen their overall relationship with the university.
Successful development and coordination of scholarship stewardship requires engagement and collaboration with staff from assigned colleges, the Office of Scholarships & Financial Aid, university leadership and other key campus partners. The position reports to the Senior Director of Stewardship.
The essential functions of this position are:
- Plan and coordinate annual scholarship reporting efforts for universitywide and multiunit donors.
- Assist the Senior Scholarship Stewardship Officer in reporting needs for our centralized scholarship reporting program.
- Help plan and execute the implementation of digital reporting for scholarships.
- Provide timely updates to donor records including documentation of scholarship stewardship activities and ensuring records are tagged accordingly.
- Respond to questions from internal partners, students and donors regarding scholarship reporting efforts.
- Serve as a liaison with the Office of Scholarships and Financial Aid, Advancement Services, college stewardship offices and with external vendors as needed.
- Assist the Senior Director and associated staff in the development of additional strategies for stewarding scholarship donors including comprehensive impact reporting and digital stewardship.
- Help evaluate the scholarship stewardship program to provide a best-in-class experience for our donors while also centering the student experience and seeking ways to educate recipients about philanthropy and improve processes. Lead, model and partner with campus partners to implement best practices.

Minimum Education and Experience
Bachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.
Other Required Qualifications
- Strong customer service orientation and the ability to communicate effectively with varied groups and build collaborative relationships with internal colleagues and university partners.
- High-level project management experience; capable of managing competing priorities and multiple deadlines, and seeing projects through from beginning to end.
- Strong organizational skills and attention to detail and accuracy.
- Ability to take initiative, work independently as well as in a collaborative team environment.
- Proficiency with Microsoft Applications (e.g., Word, Excel, PowerPoint, etc.) and Google Suite.
- Proficiency using excel formulas to aggregate data from multiple sources.
- Demonstrate a high degree of sensitivity in dealing with confidential donor information.
- Be able to work to the demands of the position, which may occasionally exceed a 40-hour work week,
Preferred Qualifications
- Knowledge and understanding of donor relations and stewardship.
- Professional work experience within large decentralized organizations.
- Experience working in university advancement / development within higher education.
- Prior experience with donor databases or prospect tracking systems.
- Experience in Adobe InDesign and Ovrture.
