As a Graduate Program Coordinator, you will play an essential role, working closely with the DGS, DGA, Graduate School, and faculty advisors to coordinate every aspect of the graduate program. This position provides vital administrative support to the Director of Graduate Studies and around 70 graduate students. We’re seeking someone detail-oriented, proactive, and enthusiastic, with strong organizational skills and the ability to handle multiple tasks with ease.
Essential Duties & Responsibilities
- Oversee processes for graduate student exams, dissertation defenses, competitions, awards, and enrollment/registration.
- Collaborate with faculty within and outside the department to schedule graduate events and meetings.
- Partner with the Director of Graduate Studies to monitor student progress toward degree completion.
- Assign annual stipends and graduate student roles.
- Process payments and reimbursements for graduate students.
- Coordinate all aspects of graduate student recruitment and admissions, including event planning, travel arrangements, and reimbursements.
- Respond to inquiries from prospective students, both domestic and international.
- Ensure accurate completion of admissions documentation, including visa requirements.
- Manage and monitor graduate program finances.
- Maintain and update the Math Graduate Program website.
- Develop and implement administrative procedures to streamline functions.
- Ensure compliance with University and Graduate School processes through meticulous documentation.
- Collaborate with other departmental staff to support department-wide needs.

Minimum Qualifications
- 3 – 5 years of administrative experience
- Proficiency in Google Suite and Adobe Acrobat
- Excellent listening, interpersonal, writing and oral communication skills.
Preferred Qualifications
- Education: Associates degree or above
- Experience with the University of Notre Dame platforms
