Technology Transfer Specialist
Job Description
Johns Hopkins Technology Ventures (JHTV) supports the commercialization of university technology through technology licensing, the development of corporate research collaborations and venture creation.
We are seeking a Technology Transfer Specialist who will be responsible for intellectual property support activities within Johns Hopkins Technology Ventures (JHTV) as an integral member of the Intellectual Property Operations group. The primary job functions include reviewing, triaging, and storing legal communica-tions related to JHTV’s patent prosecution activities, maintaining and updating Minuet-JHTV’s Intellectual Property Database-with patent-related data as report-ed by law firms, and managing the patent prosecution formal documents pro-cess, including proofreading for accuracy, collecting signatures, and returning completed forms to law firms. Additional job functions may include managing in-tellectual property matters related to invention disclosures, invoice review and federal and non-federal funding compliance.
As JHTV seeks to enhance its processes, this role also involves exploring opportunities for automation and advanced data reporting. By implementing these improvements, the Technology Transfer Specialist can elevate the efficiency and accuracy of data management, thereby supporting the office's ongoing mission to foster innovation and protect intellectual property effectively.
Specific Duties & Responsibilities
Patent Correspondence
- Receives and reviews patent correspondence from outside law firms and routes to appropriate JHTV staff for action when necessary.
- Identifies documents that require action by an Intellectual Property Man-ager (IPM) and tracks the action for completion to meet deadlines.
- Reviews correspondence for patent application and JHTV matter number accuracy and directly provides updates and/or corrections when neces-sary.
- Saves patent correspondence to appropriate location on the department shared drive.
Information Systems
- Updates Minuet with IP filing information to ensure that it remains up-to-date and accurate.
- Creates new matter numbers within the Minuet system for tracking new in-tellectual property filings and communicates information to appropriate parties.
- Produces reports using Minuet and Microsoft Excel for use by JHTV staff and outside parties.
- Provides training to other staff members on the basic use of Minuet, such as searching and updating IP records.
Signature Collection
- Receives and reviews formal document signature requests from law firms, verifies accuracy, and directly provides updates and/or corrections when necessary.
- Coordinates with law firms and IPMs to ensure any necessary updates or confirmations regarding inventorship and application data.
- Works directly with inventors and their support teams to collect signatures that meet U.S. and International Patent Office requirements and dead-lines.
- Prepares and/or edits documents for signature when necessary.
- Maintains accurate tracking of signature collection status within Minuet
Invention Disclosure Processing
- Provides processing assistance with new inventions submitted to JHTV.
- Reviews new invention disclosures to assure all necessary information is complete.
- Corresponds with inventors to verify information and obtains electronic signatures.
- Inactivates invention records within Minuet, as requested.
Compliance Reporting
- Ensures accuracy of the Government Support Clause in patent applications and works with law firm, when necessary, for corrections.
- Assists with updates to the iEdison government reporting system to ensure 100% compliance with federal regulations.
- Communicates directly with inventors to gather information for compliance reporting including grant numbers and invention details.
- Coordinates closely with other JHTV group members to timely and accu-rately report invention disclosures.

Minimum Qualifications
- High School Diploma or graduation equivalent.
- Two years administrative work experience is required.
- Additional education may substitute for required experience to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
- U.S. Citizen or legal permanent resident required due to Federal Export Controls.
- Bachelor’s degree preferred.
- Experience with the Minuet Intellectual Property Database and/or iEdison government reporting system as well as working with legal documents, including responsibility for reading, understanding and acting upon these documents is strongly preferred.

Starting Salary Range: $44,200-$60,424-$76,752 Annually ($50,000 targeted; Commensurate with experience).
