Introduction

This position provides academic support and assistance for the purchasing and storeroom activities associated with the Food Service program at Kapiolani Community College. This operation provides food and related materials to the food service instructional programs, both credit and non-credit, along with special events including fundraising. There are four public dining rooms providing dining services throughout the day and night, 12 instructional laboratories, cafeteria and servery, and two demo kitchens. The purchasing and storeroom operation itself may function as a live laboratory, providing students with learning activities that typify purchasing/storeroom and cost control activities in the industry. This position will provide direct service to the faculty in providing purchasing, receiving, issuing, and accounting for food stores as outlined below.


Duties And Responsibilities:

  • **Provides academic support in the following fields that are directly related to the Culinary & Pastry Arts academic programs, Non-credit Culinary programs, the Culinary Department’s Special Events, and Fundraising.

  • **Discuss product requirements, specifications and alternatives with instructors.

  • Research sources of food and non-food supplies/equipment and keep abreast of new products.

  • **Liaise with suppliers, provide a complete description of purchasing requirements and obtain information including availability, costs, terms, delivery, and suitable substitutes.

  • Advise and provide technical assistance to faculty on the variety of items available to meet programmatic requirements and on the sources of products/supplies, and request product samples for instructors.

  • **Draft specifications for purchases including requests for quotes, issuing purchase orders, arranging deliveries, and processing invoices for payment.

  • **Maintain par levels of goods in the inventory and order when necessary.

  • Comply with all State and University rules, regulations and policies in generating purchase orders, payment documents, invoice transmittals, and other duties related to accounts payable for the food service stores.

  • Assist in preparing cost reports.

  • **Receives and inspects food/supplies upon delivery for accuracy of quantity and quality.

  • Follows up on orders to expedite delivery or to resolve problems with purchases such as overages, shortages, unauthorized substitutions, or goods not meeting specifications.

  • Store goods in respective storage areas. Maintain the storeroom in an organized, sanitary manner. Conduct storeroom inventory.

  • **Prepare and issue the materials requested from the available stores.

  • **Monitor spending limits on accounts and assist in preparing reports as necessary.

  • **Inventory to assess the level of stock and/or par levels, and order when necessary.

  • Solicitation of donations for fundraising events.

  • **Assist in repair and maintenance monitoring and scheduling.

  • May be required to work weekends and evening shifts.

  • Other duties as assigned.


Minimum Qualifications:

  1. Possession of a baccalaureate degree in Food Service Management, Hospitality Management, Hotel & Restaurant Management or related field and three (3) years of progressively responsible professional experience with responsibilities within the food industry; or any equivalent combination of education and/or professional work experience that provides the required education, knowledge, skills and abilities as indicated.

  2. Considerable working knowledge of principles, practices and techniques in the area of foodservice as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies. 

  3. Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and systems associated with food safety and procurement.

  4. Demonstrated ability to resolve a wide ranging complex through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner. 

  5. Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials

  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.

  7. Demonstrated ability to operate a personal computer, apply word processing software.


Desirable Qualifications

  1. Familiarity with the University of Hawaii fiscal policies and procedures and experience using Kuali Financial System

  2. Familiarity with local vendors and product offerings.

  3. Familiarity with ADACO inventory management system.

  4. Certification in Food Safety including but not limited to ServSafe, Hazard Analysis and Critical Control Points (HACCP) certification, ANAB Accredited Food Safety Certification Course, etc. 

  5. One (1) year of professional experience in food procurement and distribution in restaurants, hotels, food vendors, or educational institutions.
